Methodology & Implementation plan

Our total comprehension of the needs of UTC and demands from the maintenance contractor: We have, for the said purpose, inspected the location and the entire office space, and noted that it covers approximately 544 sq.ft. area from ground floor to 20th floor. On an average each floor has 2500 sq.ft. and we have inspected all executive toilets, all comfort rooms and all different structures, present pot planting decorations etc.

What we also feel imprint is that as UTC is a large nation organization at Dhaka & is manned by people for higher stations of life very many countries of the world, we shall have to ensure that whatever tasks & jobs we will have to undertake will need such level of appropriateness which will match their taste, culture and liking.

We are also aware that the UTC working personnel are punctual in attending office unlike many national organization. Our workforce (Cleaners & supervisor) shall also therefore need to be on duty exactly on time and remain present during the entire stipulated hours. Their quality of works must also be of the highest possible standard to the full satisfaction of all the authorities. Executives & employees of UTC offices.

Now the following are point-wise presentations on Methodology & Implementation plan:

Strategy to implement the scope of work

The implementation will be rendered under contractual obligation as per on the spot standing instruction from time to time. There described hereunder.

Daily & Regular Works:

on all working days : (Saturday through Thursday)

Number of personnel to be deployed and their working hours:

6:30a.m to 6.00p.m full time supervisor

6:30a.m to 6.00p.m full time cleaners,

The major items of these daily works are

Floors Sweeping and swabbing, scrubbing will be done detergents. Carpet area will be cleaned using vacuum cleaners (Specially UTC office floor) The above works on the floors will as will as usual, start at 6.30 a.m. in the morning and will be over by 8.30 a.m. Room(s), if any, which will not be opened light at the beginning, will be cleaned whenever opened. The work of floors include such works hi the floors of the Executive Rooms, Lobby, Corridor, Lift Area, Staircase, Toilet floors & all other relevant floors.

The cleaners will have uniform, canvas shoes, & ID card. The uniforms will be cleaned by the laundry twice a week. The female cleaners will continue up to 6.00p.m.

The Carpet cleanings:

The carpet cleaning will be done by vacuum cleaner machine by cleaners which will be started after the office hour from about 4.30 p.m. and the carpet cleaning will be completed by 6.00 p.m. by them n the floors concerned. The full time supervisor will continue to supervisor from 7.00 a.m. to 6.30 p.m.

Office furniture & fixtures, equipment, computers and accessories, door and window and Thai aluminum fitting, glasses, Venetian blinds and window screens: wiping and cleaning of all above items will be done by using high quality materials, as approved by the organization (s). No human health –hazard chemicals/materials be used as cleaning material.

The above works except (Thai aluminum fittings, glasses, Venetian blinds and window screens) will be done from inside every days after, outside glass or cartoon wall & glass window cleaned twice a week according to the authority. The cleaning for furniture, fixtures, banisters will be Mr. Brassow windowless etc. Plastic furniture will mainly be cleared by trix and water. Zenith will be used for computer & IT accessories. Trix, Floorin Jet etc.  will be used for outside glasses. Window glasses window glasses etc.

Wastage and Garbage:

As indicated in the bid Document, Cleaning of all waste paper, wastage and garbage will be done as per instructions, from in and around the office and disposed of the same outside the building in brief presentation on the methodology of the above work. The daily wastage and garbage will be done once in the morning shift from 6.30 a.m. to 8.30 a.m. by the same set of cleaners. Similar work daily will be done for the second time after office hours meaning from 3.30 p.m. to 6.30p.m. In this case, in the second half will do the above work. The full time supervisor will ensure this.

Now, we understand that there will be need for wastage and garbage cleaning works also at different points of time within the office hours. our cleaners, who are readily available during the whole period, will do the required such wastage and garbage cleaning immediately as and when required.

Toilet floors, pans / commodes, urinals and wash basins:

Sweeping, swabbing, scrubbing and cleaning using high quality cleaning materials / detergents, as approved by the organization(s) will be done. All toilets will be cleaned frequently. The above works will initially be done with complete coverage in the morning shift (6.30 a.m. to 8.00 a.m.) by cleaners. Thereafter, the cleaners will be checking all executive and general Toilets after every 60 Minutes or even before during the office hours, and continue to clean immediately as and when and where necessary.

At the end of the office hours at 3.30 a.m. the male cleaners ( one per floor) will start to undertake the same type of cleaning of toilet floors, pans / commodes, urinals and wash basins as was done in the morning shift to ensure complete cleaning coverage again.

We understand that there may be occasions once in a while (say, once in a month) when for somebody’s sudden illness or for any other reason’s, a toilet or any portion of it may be very badly smudged or smeared with human stool/urine or vomiting etc. (Even such a situation may arise in the office floors, corridors etc.). Our cleaners are equipped and trained to handle such matters.

The supervisor will do their supervising duties throughout the day.
